TERMS & CONDITIONS
Prior to filling out and signing any of the forms found here, please ensure you fully understand all the Terms & Conditions of using Kokako Lodge.
- It is the responsibility of the group organiser to ensure their group is aware of and abides by the Kokako Lodge Terms & Conditions and follows all Emergency & Safety Procedures provided to them.
- Kokako Lodge reserves the right to decline a Booking Application if ...
- We feel the centre will not be suitable for the user groups needs.
- We feel the group / persons do not have adequate safety processes in place to use the equipment safely and how it was designed to be used.
- We are concerned about the user group meeting the financial costs incurred while at Kokako Lodge.
- By allowing the user group / event to use / go ahead at Kokako Lodge, it may tarnish what Kokako Lodge stands for.
- The user group has through a previous stay given Kokako Lodge grounds for not allowing the user group back, and or the user group has been informed in writing by Kokako Lodge after a previous stay that they will not be allowed to return.
- All bookings made at Kokako Lodge (for equipment and accommodation) will require a Booking Application Form, returned and signed by a member of that group, so authorised to do so prior to their arrival / or use of equipment acknowledging and accepting our Terms & Conditions.
- Arrival and departure times: Please confirm with the Kokako Lodge Office prior to your arrival.
Monday to Friday: Arrival no earlier than 10am, and departures by 1pm
Friday to Sunday: Arrival no earlier than 4pm and departure by 1pm
Any arrival / pick up and or departure / drop off outside of these may incur additional charges.
- Any cancellations made 3 months prior to a booking will result in the loss of your deposit and any costs incurred by Kokako Lodge for outside suppliers will be recovered from the user group. Any cancellations made prior to 3 months of the booking once the deposit has been paid will incur a 25% loss of their deposit to assist with administration costs.
- A minimum charge for use of the camp is based on 30 people per night/ day.
- All sound restrictions as stated in the Amplified Sound Application Form must be adhered to (this can be found on page 6).
- Excessive consumption of alcohol is prohibited. It is requested that the group utilising Kokako Lodge practice Host Responsibility by providing food and non-alcoholic drinks, and designated drivers and / or alternative transport options.
- All buildings at Kokako Lodge are smoke free.
- Dogs are permitted, however must be kept under control at all times. Please beware that poisons are used for pest eradication in the area and Kokako Lodge is not responsible for the well being of your animals.
- Day / temporary visitors are to be counted and made aware of the Terms & Conditions along with all Emergency Procedures.
- The weather is something that Kokako Lodge, the instructors or you cannot control. If an outdoor pursuits booking is cancelled due to weather there will be a charge for any staff booked to work at ½ the normal instructor rate and any other charges incurred by Kokako Lodge.
- If an outdoor pursuits booking is postponed due to weather there will be a ¼ of normal charge incurred for any staff booked to work on your programme and any other charges incurred by Kokako Lodge.
- The person who is signing the form is taking responsibility for the user group and or Kokako Lodge equipment, the group's actions and any costs incurred by the user group until such time all monies owing are paid in full.
- User groups will be charged for all damage to the centre and our equipment during the term of their stay and / or while in possession of any of our equipment.
- When hiring Kokako Lodge equipment, the user group will ensure the equipment is used as per any instructions given to them by Kokako Lodge, they will provide a suitably qualified and or experienced person(s) to run the activity the equipment is being used for, have a safety management plan for the use of the equipment. Return the equipment as it was given, and ready to be used again. Notify Kokako Lodge of any damage to the equipment.
- All invoices are payable within 7 days of date on invoice, including deposit invoices. For Direct Debit, our bank details are 12-3237-0000352-00 ASB with the invoice number as reference.
- All bookings classed as a party will be required to pay a deposit 6 months prior to their stay. Alternatively, it must be accompanied with the Booking Application Form if the booking is made with less than 6 months notice.
- While staying at Kokako Lodge, all user groups will be required to adhere to any instructions given to the group by Kokako Lodge staff in relation to the centre and its safe operation.
- Kokako Lodge may from time to time take photos of the centre, its equipment and activities while being used. It is the responsibility of the organiser to ensure permissions have been sort from all persons, and to notify Kokako Lodge of any issues, as these photos may be used for advertising materials.
- All costs incurred by Kokako Lodge to recover monies owing, will be the responsibility of the user group.
